There’s a quiet stress that comes with writing emails, especially when you’re not sure how to say what you mean.
You open a blank screen, reread the subject line three times, and suddenly everything feels harder than it should.

Instead of worrying about how to phrase an email, simply explain what you want it to do.
For example, you can type:
“Write a friendly email asking a client for an update on an invoice.”
ChatGPT will instantly create a draft for you.
Step 3: Adjust the Tone or Length
If the email feels too formal, too long, or not quite right, you can easily adjust it.
Just type things like:
“Make it shorter.”
“Make it more casual.”
“Make this sound more professional.”
“Rewrite this in a friendly tone.”
You’re not starting over, you’re refining.
Step 4: Give ChatGPT Context for Better Results
The more helpful details you give, the better the email will be.
You can include:
Who the email is for
What the meeting or topic was about
When it happened
What you’re following up on
The tone you want (friendly, professional, casual)
For example, instead of starting from scratch, you could type:
“Write a polite follow-up email to a client after a meeting on Tuesday about a project timeline. Keep it friendly and professional, and ask about next steps.”
ChatGPT will use that information to write a clear, relevant email.
Step 5: Make It Sound Like You
Once ChatGPT gives you a draft:
Read it through
Change a few words if needed
Add or remove a sentence
You can even say:
“Rewrite this to sound more like me.”
Remember, ChatGPT is helping you get unstuck. You are still in control.
